The digitalisation trend in paperless communication is on the threshold of a second phase. This is undoubtedly the integration of artificial intelligence elements into a higher level of efficient document management and document-related processes. It is a very effective tool where digitisation that has already been carried out can be further optimised. Also where searching for context in the content of documents means an inefficient time investment for the human mind, which the AI mind can handle in minimalistic times. However, this needs one thing, we need to teach human intelligence to work with artificial intelligence.

Document management has moved from binders to digital systems, and today it is being reshaped by artificial intelligence. It already invisibly helps with data extraction, classification, and content summarization, opening the door to truly paperless processes. The key, however, remains order in the data and rigorous security.

From binders to digital: what has changed

For years, companies have been moving documents from paper archives into folders and document management systems with workflows and long-term archiving. The trend of recent years has pushed for as little printing as possible and for processes to be as paperless as possible. AI enters into this change, adding automation and accuracy where manual processing falls short. The goal is to find information faster, shorten processing time, and reduce error rates.
